The Role of Depot Hire Controller:

As our Depot Hire Controller, you will be the first point of contact for all internal and external inquiries. In this role, you will enhance your skills, expand your product knowledge, and deepen your understanding of our Plant Operations. You will take ownership of the entire hire process, from responding to hire queries and identifying solutions to placing hires and ensuring resolution, all while maximising the utilisation of available assets. Each inquiry will be handled efficiently, prioritised by urgency, and delivered with exceptional service to all customers and stakeholders.

Key responsibilities include:

Customer Service and Communication:

  • Answer incoming calls, emails, and other communications from customers, suppliers, and internal teams, directing them to the appropriate person or providing assistance where possible.
  • Support the Operation teams in delivering exceptional service to meet customer requirements, aiming to provide a positive customer experience and timely resolution of any issue.
  • Recognise potential issues and escalate them to the Depot Manager in a timely manner to ensure smooth operations.
  • Provide front desk/reception support.

Operational Support and Collaboration:

  • Provide administrative support to the onsite workshop team, helping to manage daily tasks and contributing to the smooth operation of the workshop.
  • Build and maintain positive relationships with colleagues in other depots and departments to ensure smooth operations and good communication.

Hire Coordination and Documentation:

  • Assist with new account openings, pricing, and check asset availability.
  • Efficiently generate hire paperwork, including contracts, delivery, and collection documentation.
  • Quality check client purchase orders to ensure accuracy.
  • Raise picking lists, order confirmations, collection and delivery notes, and sales orders.
  • Accurately log off-hire requests and process off-hire cancellations.
  • Maintain all physical and electronic documentation associated with hires, services, exchanges, sales, or other related inquiries.

CRM system Management:

  • Navigate CRM and log all inquiries in the appropriate category.
  • Navigate and use InspHire software to manage hire fleet, process transactions, and access product specifications.
  • Develop and maintain a strong knowledge of our hire fleet, equipment and available accessories.

Sales and Account Management:

  • Convert customer enquiries into profitable hires.
  • Assist in increasing sales growth within the local area by making proactive sales telephone calls.
  • Understand and apply the hire rate pricing structure accurately.
  • Identify stock availability and manage the status of inventory, ensuring machinery is road taxed.
  • Identify correct client accounts and handle accounts that are on hold.
  • Quote and process deposit account transactions.
  • Raise any issues, such as lost hires, and escalate to the management team.

Are you the right person for this role?

The successful candidate will have the following skills and/or experience:

  • Confident, ambitious, and customer-focused nature
  • Previous experience in a customer-facing role, ideally within the hire desk or plant hire industry (preferred but not essential)
  • Strong communication skills, both written and verbal
  • Highly organized with excellent time management skills
  • Ability to work well as part of a team
  • Proficient in Microsoft Office and Outlook
  • Eagerness to learn new skills and expand product knowledge
  • Motivated and seeking career progression opportunities

A valid UK driving license is required for this role
