The Role of Hire and Service Coordinator:

We have a fantastic opportunity for the right candidate to join our Hire and Service Team. We’re looking for someone who can bring their expertise and passion for customer service to a role where you will play a crucial part in the smooth operation of our Hire Desk Team. As the Hire and Service Coordinator, you’ll be the primary point of contact for all hire-related inquiries, managing the entire hire process, ensuring exceptional customer satisfaction, and maximising asset availability to meet customer needs.

Key responsibilities include:

Customer Service & Communication:

  • Serve as the main contact for customer inquiries regarding plant hire and service.
  • Provide excellent customer service by addressing concerns, keeping customers updated on order progress, and offering equipment recommendations tailored to specific needs.

Hire Coordination:

  • Negotiate hire, transport, and service rates with customers in accordance with the established rate structure.
  • Prepare and issue contracts, quotations, and order confirmations
  • Coordinate service and maintenance jobs as required.
  • Manage contract amendments, such as re-dating and updating product details.
  • Ensure adherence to off-hire procedures and escalate any issues that may affect customer service levels
  • Utilise InspHire's multiple functions to support hire operations

Collaboration & Teamwork:

  • Foster effective communications with internal sales, operations, and transport teams to ensure efficient processes and to provide comprehensive hire solutions tailored to customer needs
  • Log and track client requirements in CRM for efficient customer data management.

Health, Safety & Compliance:

  • Ensure all equipment complies with health and safety regulations, provide safe operating guidelines to customers
  • Maintain a strong understanding of the hire fleet and accessories to provide effective customer assistance
  • Maintain accurate records for each hire transaction and contribute to internal performance and service reports.

Are you the right person for this role?

To be considered for this role, candidates should meet the following criteria:

  • Proven experience in hire desk and/or depot operations, or a similar role
  • Strong customer service skills, with the ability to manage customer relationships effectively, respond to inquiries promptly, and resolve any issues efficiently.
  • Ability to manage multiple tasks and prioritise effectively
  • Familiarity with plant hire equipment, including understanding equipment specifications (advantageous)
  • Experience with CRM systems and hire software, along with proficiency in MS Office tools.
  • Strong problem-solving skills, with the ability to think on your feet and resolve operational challenges quickly.
  • Accuracy in handling paperwork, booking systems, and client accounts
  • Confident team player with strong communication and collaboration skills,
